Terms & Conditions

Last updated: 25 October 2025

Welcome to Forge West End. By booking or attending any service, class, or appointment with us, you agree to the following Terms and Conditions. These terms are designed to ensure a safe, transparent, and professional environment for both clients and practitioners.

1. General Information

Forge West End is a multidisciplinary allied health and Pilates studio providing physiotherapy, exercise physiology, remedial massage, Pilates, strength and conditioning, and group performance classes. Our services are delivered by qualified health professionals and registered providers under relevant Australian legislation and professional standards. These Terms and Conditions apply to all services, programs, classes, and packages offered at Forge West End.

2. Bookings

Bookings can be made online, by phone, in person, or through Pogozo app. All new Pilates and performance class participants may be required to complete an initial assessment with a physiotherapist before joining. Session lengths are clearly stated at the time of booking. Additional time requested will be billed accordingly. Bookings are subject to availability and confirmation.

3. Cancellations & Rescheduling

24 hours’ notice is required to cancel or reschedule any appointment 1:1. Late cancellations (less than 24 hours) or no-shows will incur the full session fee. For NDIS-funded clients, the NDIS 48-hour cancellation rule applies. For Performance and Clinical classes 12 hours' notice is required. Cancellations can be made via phone, email, or our booking app. Repeated cancellations may result in suspension of booking privileges.

4. Payments & Fees

Payment is required at the time of the appointment or class unless otherwise agreed. We accept EFTPOS, credit cards, HICAPS claims, and approved third-party funding (e.g., NDIS, DVA, WorkCover QLD, Medicare GPCCMP referrals, private health insurance). Prices are subject to change. The current price list is displayed on our website and at reception. All package and pass purchases are non-refundable and non-transferable unless required by Australian Consumer Law.

5. Class Packages

Class packs (e.g., Clinical & Performance) must be used within their validity period, which is stated at the time of purchase. Unused sessions cannot be refunded but may be extended under exceptional circumstances with a valid medical certificate (e.g., injury, illness) at the discretion of management. Passes can be shared between clients on a 50:50 basis.

6. Health & Safety

Clients are required to complete Forge’s Patient Registration Form before commencing a service. Clients must notify their practitioner of any injuries, pain, changes in health status, pregnancy, or new medical conditions prior to participating in any session. Forge West End reserves the right to refuse participation in any service if it is deemed unsafe for the client or others. All sessions are delivered and supervised by qualified practitioners to ensure safe and effective care across all services, including performance classes, clinical classes, physiotherapy , exercise physiology, massage, and other allied health treatments.

7. Arrival & Studio Etiquette

Please arrive 5–10 minutes before your scheduled session or class. Late arrivals may result in reduced session time without fee adjustment. Clean socks or grip socks are required for Pilates classes. Mobile phones should be silenced during sessions. For hygiene reasons, please wipe down equipment after use. Clients must wait for the class to officially begin before starting their session. Do not use equipment or enter the exercise space while the previous class is still running. Do not begin a class without a supervising practitioner present. Please be respectful of the class changeover period to ensure a safe and smooth transition between sessions.

8. Clinical Care Disclaimer

Allied health services provided at Forge West End are individualised, evidence-based, and delivered by qualified practitioners to support each client’s health and wellbeing. While every effort is made to provide the highest standard of care, treatment outcomes may vary between individuals and cannot be guaranteed. Clients are responsible for following their prescribed treatment or exercise plans, including any home exercise or self-management strategies. Forge West End and its practitioners are not liable for any injury, aggravation of symptoms, or adverse outcomes resulting from non-compliance with instructions, unsupervised activity, or misuse of equipment.

9. NDIS, DVA & Third-Party Funding

Participants under NDIS must have a valid service agreement and funding in place. Services will be charged according to the relevant NDIS Price Guide or applicable third-party schedule of fees. If funding is not approved or available, the client remains financially responsible for the session fees.

10. Privacy & Confidentiality

All personal and health information is collected and stored in accordance with the Privacy Act 1988 (Cth) and Australian Privacy Principles. Client information will not be disclosed without consent except where required by law. For more details, please refer to our Privacy Policy.

11. Intellectual Property

All materials, exercise programs, and educational content provided during sessions remain the intellectual property of Forge West End and are intended solely for personal use. Reproduction, distribution, or sharing without permission is prohibited.

12. Liability Waiver

By attending our classes, sessions, or events, you acknowledge the inherent risks of physical activity and agree to participate at your own risk. Forge West End, its employees, and contractors will not be held liable for injury, loss, or damage except where required by law.

13. Gift Vouchers & Promotions

Gift vouchers are valid for the period stated on the voucher. Vouchers are non-refundable and cannot be exchanged for cash. Promotions cannot be combined with other offers unless stated.

14. Right to Refuse Service

Forge West End reserves the right to refuse service or terminate a session if a client displays inappropriate, aggressive, or unsafe behaviour.

15. Changes to Terms & Conditions

These Terms and Conditions may be updated periodically to reflect operational or regulatory changes. The most current version will always be available on our website. Continued use of our services implies acceptance of any updated terms.
